How to create a trip, assign or broadcast to pilots, and track trip status through departure and return.
The trip appears on your dispatch board with status Open.
After creating the trip, you can assign a specific pilot:
The pilot receives an email notification with the trip details and a link to their portal.
To send the trip to all qualified contract pilots:
All contract pilots authorized for that aircraft receive an email. The first pilot to accept the trip is assigned; the trip moves from Open → Assigned.
| Status | Meaning |
|---|---|
| Open | Created, not yet assigned or broadcast |
| Broadcast | Sent to pilot roster, awaiting acceptance |
| Assigned | Pilot assigned, not yet departed |
| In Progress | Pilot has checked in at departure |
| Complete | Pilot has checked in at return; flight logged |
| Cancelled | Trip was cancelled |
Open the trip and click Attach Document to upload:
Documents are accessible to the assigned pilot from their portal.
See Passengers, Weights & Cost Breakdown for the check-in/out process and how Hobbs syncs to aircraft totals.
