How to add passengers, record weights, view trip cost estimates, and log check-in/check-out.
Adding Passengers
- Open a trip.
- Click Add Passenger.
- Enter:
- Name
- Weight (lbs) — used for W&B calculations
- Contact (optional)
- Click Save.
You can add multiple passengers. The total payload weight is shown on the trip summary.
Weight & Balance
Aloft360 tracks passenger and baggage weights for each trip. The weights are available for reference when filling out your W&B worksheet — upload the completed worksheet as a trip document.
Operating Cost Estimates
If you've configured operating costs for the aircraft, each trip shows an estimated cost based on:
- Fixed monthly costs (hangar, insurance) — prorated per trip day
- Variable hourly costs (fuel burn, oil, MX reserve) — calculated from estimated flight time
To configure aircraft costs:
- Open the aircraft → Details tab.
- Click Edit Costs.
- Enter fixed monthly costs and variable per-hour costs.
Trip Check-In (Departure)
When ready to depart:
- Open the trip (the assigned pilot can also do this from their portal, depending on your check-in/out settings).
- Click Check In.
- Enter:
- Hobbs out — Hobbs time at engine start
- Tach out — tach time at departure (optional)
- Click Confirm Departure.
Trip status moves to In Progress.
Trip Check-Out (Return)
When the aircraft returns:
- Open the trip.
- Click Check Out.
- Enter:
- Hobbs in — Hobbs time at engine shutdown
- Tach in — tach time at return (optional)
- Click Complete Trip.
Aloft360 automatically:
- Calculates the flight duration
- Adds the elapsed Hobbs/tach to the aircraft totals
- Creates a flight log entry
- Marks the trip Complete
No double-entry required.
Who Can Check In / Check Out
This is controlled by the Trip Check-in / Check-out Control setting in Settings:
- Manager controls check-in/out — only Owner/Admin can check in and out
- Assigned pilot can check in/out — the assigned pilot can do it from their portal
