Creating & Managing Reservations

How to book aircraft on the scheduling calendar, edit reservations, and handle conflicts.

Creating a Reservation

  1. Click Schedule in the sidebar.
  2. Click on any empty time slot on the calendar, or click the + New Reservation button.
  3. Fill in:
    • Aircraft — select the aircraft to book
    • Date & Time — start and end time
    • Pilot — who is flying (defaults to yourself)
    • Notes — optional purpose or remarks
  4. Click Save.

If the aircraft is already booked during that time, you'll see a conflict warning and cannot save until you choose a different time.

Viewing the Schedule

The schedule shows all reservations across your fleet in a calendar view. You can switch between:

Use the aircraft filter to show only specific tail numbers.

Editing a Reservation

  1. Click on any reservation on the calendar.
  2. Click Edit.
  3. Make your changes and click Save.

Only Owners, Admins, CFIs, and the pilot who made the reservation can edit it.

Canceling a Reservation

  1. Click on the reservation.
  2. Click Cancel Reservation.
  3. Confirm.

The time slot becomes available immediately.

Pre-Checkout Verification

When a pilot is ready to depart, they initiate the checkout from the reservation detail. This opens the verification checklist — see Pre-Checkout Verification for details.

Reservation Conflicts

Aloft360 prevents double-booking. If you try to create a reservation that overlaps with an existing one for the same aircraft, you'll see a conflict error and the save will be blocked.
