Create itemized charter quotes, send them to clients by email, and convert accepted quotes directly into trips.

What Is the Quote Builder?

The Charter Quote Builder lets you create professional, itemized cost proposals for charter flights. You can send quotes directly to clients by email, track their status (draft → sent → accepted/declined), and convert an accepted quote into a trip with one click.

To access: Professional → Quotes.

Creating a Quote

  1. Click New Quote.
  2. Fill in the trip details:
    • Client — select from your Client CRM, or leave blank
    • Aircraft — the aircraft you're quoting
    • Departure / Destination airport (ICAO codes)
    • Departure date and optional Return date
    • Passenger count
    • Estimated flight hours — used to auto-calculate costs
    • Expiry date — the date the quote expires if not accepted
  3. Click Create Quote.

Quotes are auto-numbered as QT-0001, QT-0002, etc.

Building the Cost Breakdown

Once the quote is created, the Cost Breakdown section lets you add line items:

Auto-Estimate

If you set an aircraft and estimated flight hours, Aloft360 can suggest cost items based on your aircraft's configured rates:

Click Add to Line Items to import all estimates at once as individual editable items.

Manual Line Items

Click Add Item to add any cost manually:

All items can be edited inline (pencil icon) or deleted. The quote total updates automatically.

Sending the Quote to the Client

If the client has an email address on file, the Email to Client button appears in the action bar. Clicking it:

  1. Sends a formatted HTML email to the client with full trip details and the itemized cost table
  2. Automatically advances the quote status from Draft → Sent

The email includes the quote number, route, date, aircraft, passenger count, itemized line items, total, expiry date, and any notes.

Quote Statuses

Use the action buttons at the bottom of the quote detail page to change status or trigger conversions.

Converting a Quote to a Trip

Once a quote is Accepted:

  1. Click Convert to Trip.
  2. A draft trip is created pre-filled with the route, aircraft, dates, and client info.
  3. The quote status changes to Converted and links to the new trip.

From there, proceed normally: assign a pilot, add passengers, and manage check-in/check-out.
